Supervision during a test or examination

Guidelines for a test or examination

The formal guidelines on how to conduct a test are described in article 2.4 of the Rules and Regulations. Important aspects are listed below.

Presence of the examiner

During a written exam, the examiner is present. If this is not possible, the examiner appoints a fellow lecturer as substitute. The examiner is also responsible for arranging a sufficient number of invigilators to ensure the exam runs smoothly.

Student identification

Students must show a valid ID. If a student cannot provide an ID, the examiner decides whether the student may participate. In such cases, the examiner records the student’s name and student number, takes a photo, and notes that the exam result is only valid once the student presents their ID afterwards.

Late arrivals

Students may enter up to 30 minutes after the official start of the exam. The end time of the exam remains unchanged. If a student is delayed due to force majeure, the examiner or the Board of Examiners decides whether participation is still possible.

Leaving the exam room

Students are not allowed to leave the room within the first 30 minutes of the exam. Once a student has left the room, no further latecomers will be admitted.

Bags, coats, and electronic devices

Bags, coats, and electronic devices must be kept out of reach during the exam, unless explicitly permitted. If a student is found with a phone or other device within reach, this will be handled as suspected fraud.

Procedure in case of suspected fraud

If the examiner suspects fraud, the following steps are taken:

  • Inform the student of the suspicion.
  • Ask a co-invigilator to act as witness.
  • Confiscate evidence (e.g. crib notes). If this is not possible (e.g. use of a mobile phone), collect evidence via photos or other means.
  • Complete a report describing observations and actions taken.
  • Allow the student to finish the exam.
  • Submit the student’s exam, the report, and all evidence separately to the Board of Examiners within one working day.
